Please read these Terms & Conditions carefully before proceeding with any booking or service.
One Events provides event staffing coordination and event support services. These Terms & Conditions outline how bookings are managed, how payments are handled, and how cancellations, credits, and service outcomes are assessed.
By proceeding with a booking through One Events, you acknowledge and accept these Terms & Conditions.
Booking Deposits
A booking deposit may be required to confirm services coordinated by One Events. Deposits secure staff availability and cover administration, coordination, rostering, recruitment, and planning work associated with the booking.
Booking deposits are non-refundable in the event of cancellation or rescheduling. Where a booking is cancelled or rescheduled with 21 days or more notice, a credit toward a future booking may be offered at One Events’ discretion, taking into account notice provided and costs already incurred.
Cancellations or changes made within 21 days of the event date will not result in a refund and may not result in a credit, including where costs have already been incurred such as confirmed staffing commitments, recruitment activity, advertising, or administrative coordination.
Event Details & Staffing Information
Final event details and indicative staffing information are typically provided within the week of the event, often approximately 24 hours prior. Staffing allocations may be adjusted closer to the event due to availability or operational requirements.
Payments & Invoicing
Payments may be made via online payment links, direct deposit, or invoice, depending on the booking arrangement. A booking is considered confirmed once payment has been successfully received or processed.
Unless otherwise agreed in writing, any remaining balance is due no later than 14 days prior to the event date. Failure to meet payment deadlines may result in staffing not being released, services being withheld, or the booking being cancelled.
Staffing Services & Fulfilment
One Events coordinates staffing based on event requirements, role suitability, and availability. While reasonable efforts are made to fulfil all confirmed requirements, staffing remains subject to real-world operational factors.
The unavailability of an individual staff member does not constitute cancellation of the entire booking. Where operationally possible, replacement staff may be attempted, however availability and timing cannot be guaranteed at short notice. One Events is not liable for staffing changes, late arrivals, or cancellations beyond reasonable operational control.
Vendor & Third-Party Services
Where One Events assists with arranging or referring third-party vendors or suppliers, those services are provided by the relevant vendor directly. Each vendor remains responsible for the delivery, quality, compliance, and insurance of their own services.
One Events acts as a coordinator only and is not responsible for the acts or omissions of third-party vendors beyond its reasonable control. Any refunds, credits, or remedies relating to third-party services are subject to the relevant vendor’s terms in addition to these Terms & Conditions.
Cancellations, Credits & Rescheduling
Cancellation and rescheduling requests are assessed based on notice provided and the extent to which services have already been secured.
Cancellations or changes made within 21 days of the event date will not result in a refund and may not result in a credit. Where 21 days or more notice is provided, a credit toward a future booking may be offered at One Events’ discretion.
Credits are not guaranteed, are not transferable, and must be used within an agreed timeframe if offered. Rescheduling is subject to availability and may incur a rescheduling or coordination fee. If a new date is not confirmed within an agreed period, any deposit or credit may be forfeited.
Refunds, Credits & Service Delivery
Refunds or credits are assessed per individual staff member or service not delivered, not per booking as a whole.
If a staff member does not attend their scheduled shift, any prepaid amount relating to the time not delivered may be refunded or credited. Late arrivals may be adjusted in 15-minute increments based on actual time worked.
Where additional time is worked with customer agreement to make up for a late arrival, no refund or credit applies to that time. Early release of staff does not qualify for a refund, as minimum shift commitments form part of the booking.
Refunds or credits apply only to services not delivered and do not extend to indirect loss, inconvenience, or consequential costs. Requests must be submitted within a reasonable timeframe following the event.
Performance & Service Expectations
Staff are allocated based on experience, role suitability, and availability. Differences in working style, pace, or approach do not automatically entitle a customer to a refund or credit.
Any performance concerns should be raised as early as practicable during the event to allow for assessment or corrective action where possible. Remedies are assessed in line with these Terms & Conditions and apply only to services not delivered.
Fulfilment Updates
Customers may request a reasonable status update prior to their event regarding expected staffing fulfilment. Any update provided reflects information available at the time and remains subject to change.
Fulfilment updates are provided for transparency only and do not alter cancellation timeframes, payment obligations, or credit eligibility. Final staffing confirmations are typically provided closer to the event date and do not constitute a guarantee of fulfilment prior to shift commencement.
Service Extensions & Changes
Additional time or services requested beyond the original booking are subject to availability and may incur additional charges. Extensions are billed in 15-minute increments unless otherwise agreed.
Reductions to the booking scope or total value are not permitted once a deposit has been paid.
Same-Day Requests & Public Holidays
Same-day requests may be accommodated subject to availability and are only confirmed once services are secured. Public holiday bookings may attract additional surcharges, or be declined.
Additional Costs
Customers are responsible for additional costs associated with the booking, including parking fees, access charges, or venue-specific requirements, unless otherwise agreed.
Photography & Media
By engaging One Events, customers consent to the use of photos or video captured at the event for marketing or promotional purposes. Consent may be withdrawn by providing notice prior to or during the event. All media captured remains the intellectual property of One Events unless otherwise agreed in writing.
Insurance & Liability
One Events does not provide public liability insurance for the event itself or the event location. Customers are responsible for arranging appropriate insurance coverage for the venue, event operations, and attendees. Third-party vendors engaged through One Events are responsible for maintaining their own relevant insurance.
Communications
By submitting an enquiry or proceeding with a booking, you consent to receiving operational communications and occasional marketing updates from One Events. Marketing communications include an unsubscribe option.
