Build a conference team around the delegate schedule

Start with the busiest parts of the programme: delegate arrivals, session changes, refreshment breaks and evening networking. A morning check-in desk and an evening reception need different roles and shift times. Separate guest-list checks, badge collection, directions and hospitality so the quote reflects the work at each point.

Your venue supplies the registration system, equipment and procedures you want staff to use. Identify the person who handles badge changes, guest-list exceptions and other decisions. Include the team briefing before the first delegates arrive.

Hospitality staff for business functions

Enquire about wait staff and bartenders for client receptions, awards dinners and business events. Describe your food-service format, drinks menu, number of service points and guest count. Explain which tasks your venue and caterer cover, and where extra people are needed for service, replenishment and clearing.

Staff hire provides the people and duties agreed in your quote. Set out who supplies food, beverages, glassware, bar tools and other service equipment. Keep setup, guest service and final clearing within the requested shifts.

Venue access and room changes

For a central Wellington venue or a programme across several locations, provide the full address and the staff reporting entrance. Add lift, loading, parking, access or induction instructions supplied by the venue. If staff move between rooms or venues, allow time for that transition in the schedule.

General event crew can be requested for setup, room resets and pack-down under your onsite direction. Describe the actual tasks and any lifting or equipment involved. List technical production, security and other specialist work separately from general event support.

One event or a programme of dates

List every date, venue, role, headcount if known, and local start and finish time separately. Use Wellington local time rather than your office or travel itinerary time. For a shift crossing midnight, include both dates.

For several New Zealand cities, use the same format for each location and name the onsite contact for each event. Coverage and the staffing scope are confirmed through the quote and booking process.

What should I send for a Wellington staffing quote?

Provide your contact name, business, email and phone number; event dates; exact venue address; expected attendance; staff duties; headcounts if known; and local shift times. Add uniform requirements and the responsibilities already covered by your venue or suppliers.

If staff numbers are undecided, explain the guest flow and service points rather than choosing an arbitrary package. For invoicing, include the legal business name and billing address, plus any purchase-order or procurement instructions. Sending an enquiry does not confirm a booking.

Plan your next step

Email your brief for a written quote, or use the online staffing enquiry form. Review the quote and follow the supplied confirmation and payment instructions. An enquiry alone does not confirm a booking.
