Functions within an operating venue
Explain which bar, dining room or function space the staff will support. Provide the event run sheet, service style, guest numbers and duties covered by your regular team. Separate event staffing from other venue operations so the responsibility of each role is understood.
Preparation, service and clearing
List the staff arrival time, briefing, preparation work and finish time after clearing. Include busy meal and drinks periods, simultaneous functions and breaks where an area requires continuous coverage. Identify the person allocating tasks and handling guest or operational issues.
Turn your plans into a staffing brief.
Share venue procedures before the shift
Include uniform requirements, arrival point, sign-in process, onsite contact and any induction. Explain equipment and service procedures staff will use. If a role involves specialist systems or technical work, describe the training and requirements rather than assuming every general staff member performs it.
Book around the actual workload
A short reception, plated dinner and multi-room function have different demands. Outline service stations, guest numbers and clearing arrangements. Specify the duties left uncovered by your caterer or permanent team, then provide separate roles and headcounts for each shift.
For recurring or several-date enquiries
Submit the dates currently planned, with individual times and requirements. Flag any differences between functions, attendance and service style. Each enquiry should identify confirmed details and changing requirements so the staffing quote reflects the current schedule.
Your questions answered.
Can staff join our permanent venue team?
Request defined duties alongside your existing staff and nominate the supervisor directing their work. Include venue procedures and briefing time.
Can we request hospitality and event crew together?
Yes. Give bar service, food service and practical crew roles their own duties and shifts, even when they belong to the same function.
What about equipment and supplier services?
Tell us what your venue already provides. List any additional equipment, catering or supplier enquiry separately, with the scope and responsibilities to be reviewed.
Request support for your next venue function.
Send the date, location, guest numbers, roles and staff shift times. Include the duties you need covered and the support already in place.
