Media, trade and invited-guest receptions

Outline who is invited and how arrivals are managed. Include separate processes for media, partners and other invitees where required. Share the guest list or check-in system, reporting contact and escalation process for unlisted arrivals. Identify who handles press questions, product advice and sales discussions.

Presentations, demonstrations and networking

Provide the sequence of arrivals, presentation, demonstration and hospitality. Explain when service pauses or moves between areas. For product interactions, supply approved talking points and demonstration procedures, with your own representative available for specialist questions.

Turn your plans into a staffing brief.

Brief the message and role boundaries

Explain the purpose of the launch, audience, product information and language staff should use. Identify claims and topics to avoid. If attendee information is collected, specify your approved system, consent process and access instructions; staff should follow the process you supply.

Separate production from event staffing

Audio, lighting, staging and technical demonstrations should have their own supplier scope. General crew can support agreed practical tasks under your supervisor. Include loading, access, briefing, guest-facing shifts and pack-down, together with any induction or equipment requirements.

Plan food and drinks service around the presentation

List the beverage and catering plan, expected attendance and equipment supplied. Request bartenders for drinks service and wait staff for food service and clearing. Tell us what your venue and caterer already provide, including glassware, ice and replenishment.

Your questions answered.

How is this different from promotional staffing?

A launch brief combines invited guest arrivals, a presentation or demonstration and event hospitality. Broader promotional campaigns can focus on sampling, retail pop-ups and ongoing visitor interactions.

Can you include registration and bar staff in one quote?

Include each role with its own duties, headcount and shift. Explain where they work and whether the busiest periods overlap.

What should we send with a launch enquiry?

Send the date, location, attendance, programme and roles. Add approved brand information, arrival procedures, venue access and onsite supervision where known.
